Part 1
Fill in a planner page
Pick a page, type into it, then copy the text or print it. Nothing you type is saved or sent, so print or copy before you close the tab.
Step 1
Set aside 15 to 30 minutes
UNC suggests budgeting that long for a regular weekly planning session.
Step 2
Mark fixed commitments first
Classes, work and other set obligations go in before anything else.
Step 3
Work backward from due dates
Start at each deadline and decide when each step should begin.
Step 4
Cut big tasks into small steps
Write steps you can finish, then give each one a time estimate.
Step 5
Keep the list realistic
Washington notes that tasks should be realistic and tied to your priorities.
Priority A is what matters most, B next, C only if time is left. Add a rough time for each task.
Ideas
Twelve layout ideas for a notebook
Plain suggestions for a dot-grid or lined notebook. Three of them come as blank sheets in the bonus below.
Habit grid
Habits down the side, one small box for each day of the month across the top. Shade a box when you do the habit.
Six-month look-ahead
Six blocks on one page for things that are coming but not scheduled yet.
Daily page with a key
Pick one mark for tasks, one for events and one for notes, and use the same marks every day.
Weekly spread
Seven day boxes across two facing pages, with a small box for next week.
Index page
Number your pages and keep a running list of what is on each, so you can find it later.
Reading and study log
Title, pages and one line of what you took from each session.
Brain-dump page
Write everything on your mind in no order, then copy the real tasks onto your list.
Deadline strip
One line across the page with due dates marked in order, and the starting step written under each.
Weekly review box
Three lines: what got done, what moves to next week, what to drop.
Budget week
A small table for what you plan to spend this week and what you did spend.
Shift tracker
A month grid where each day shows the shift you work, so days off are easy to see.
Goal ladder
One goal at the top, then the steps beneath it, each with a date.
Part 2
A 12-hour rotating shift schedule
One widely described pattern runs four crews on 12-hour shifts over a 28-day cycle. Each crew works the same pattern, starting one week after the crew before it. Pick a crew to see its 28 days.
Crew A, days 1 to 28
The weekday labels assume cycle day 1 falls on a Monday. A cycle can start on any weekday, so write your own start date on the printed page.
- Week 1
48 hours - Week 2
72 hours - Week 3
48 hours - Week 4
0 hours
That is 168 hours over the cycle, an average of 42 a week. Each crew works 7 night shifts and 7 day shifts and has 14 days off, counting the full week off.
The pattern, one crew
- 4 nights
- 3 days off
- 3 days
- 1 day off
- 3 nights
- 3 days off
- 4 days
- 7 days off
Each shift is 12 hours. Read left to right, then repeat.
All four crews, day by day
On every day of the cycle exactly one crew is on a day shift and one is on a night shift, so the other two are off.

Questions
Common questions
UNC Learning Center suggests setting aside 15 to 30 minutes for a regular planning session. Mark fixed commitments such as classes and work first, then fit your tasks into the open time. Part 1 has a page for that.
It depends on you. The University of Washington notes that a weekly to-do list is one of several weekly formats and that different formats work for different people. Try the to-do list, weekly page and monthly page and keep the one you actually use.
A pattern that uses four crews on 12-hour shifts over a 28-day cycle. Each crew works 4 nights, 3 off, 3 days, 1 off, 3 nights, 3 off, 4 days, then 7 days off, and each crew starts a week after the one before it. Two published descriptions agree on this pattern, and the page checks that it adds up to a 28-day cycle with exactly one day crew and one night crew every day.
